Claims evidence file checklist

What a defensible claims file should contain — and be able to produce within hours, not weeks — when a major incident lands.

The guide

A claim is defended by records built before the incident. This checklist defines what should be retrievable, dated and indexed before it matters. 1. Maintenance: Schedules and completion records for critical machinery and utilities. 2. Training: Records showing who was trained, when, and to what competency. 3. Inspection: Periodic inspection, test and calibration records. 4. Supervision: Shift logs, safe-system records and method statements. 5. Quality: Approval, non-conformance and corrective-action records. 6. Incidents: Incident and near-miss logs with corrective actions tracked to closure. 7. Financial: Gross profit, increased cost of working and payroll evidence a major loss will require. If any category takes more than a few hours to produce, start a Claims & Defensibility review.
